Basic collaboration
Document collaboration actions govern how users create, review, approve, store and archive files in an online workspace rather than through scattered emails and/or attachments. Thus, allowing users to access either current document version, or previous edits. Collaboration actions enables users to modify, transfer and comment documents in an organized manner. Document owners have the authority to assign or approve these types of actions.
Use cases of basic collaboration
Document collaboration supports owner, administrator, editor and member roles organized on per workspace basis. Owners have full access to workspace documents that cannot be transferred. Administrators also have full access, but the role can be assigned or removed. Editors can change documents and make action assignments. Members can only download and comment documents.
Document collaboration allows multiple roles to track document preparation progress, automate assignments and approvals. Each assignee also receives a reminder e-mails containing list of latest tasks that haven’t yet been executed, preventing tasks from being skipped or forgotten.
Users can view and interact with document assignments both in personal list, and specific document’s list. In personal list, users can review assignments for all the documents, and can execute, approve, or refuse each assigned action. In document’s assignments, user can make new assignments, approve executed ones, and cancel mistakenly created tasks.
Limitations
Document collaboration currently supports proofreading, review, request for comment, file rename and file move workflows.
